Department data
The department's tables and their groups, where uploads land, and tables shared from the organisation.
Overview
The Data page is where a department's tables are kept in order. From here you add files, sort tables into groups, decide who in the department can see each one, and describe them so Mira understands them. Open it from Department Management in the sidebar: click the department, then Data.
The Lead can open it, and so can Owners and Admins. The Lead can also open it to others by giving their role Manage data or Manage context on the People and roles page.
What is here
The list on the left holds two kinds of table.
- The department's own tables. Files uploaded into this department. Only this department has them.
- Tables from the organisation. Tables an Admin has shared with this department from the organisation's Shared sources, such as HubSpot's deals table. Their details say they come from the organisation.
Tables sit in groups, which Mira calls scopes, such as Ledger and Planning in Finance. A table that is not in a group yet waits in the Unfiled tray at the foot of the list.
The page has three tabs. Data shows the rows of the table you picked. Permissions sets who can see it. Details holds its name, description and where it is filed.
Adding data
Click Add data above the list, or drag files straight onto it. Drop a file on a group and its table lands in that group. Files added here are marked Only this department: nobody outside Finance can ask about Finance's budget spreadsheet.
Uploading files covers the upload window itself. Connected systems are not added here. An Owner or Admin connects them once for the organisation and shares their tables with departments.
Grouping tables
- Right-click a table in the list and open Move to, or open its Details tab and use the Scope menu.
- Pick a group, or choose New scope… to make one and file the table into it.
- To move several tables at once, select them and drag them onto a group.
Filing a table from the organisation only changes where it sits in this department. Sales can file the same deals table in a different group, and neither affects the other.
Who can see each table
The switches on the People and roles page cover the whole department. The Permissions tab lets you treat one group, or one table, differently.
Pick a group or a table, then pick a role or a person. For each permission choose Allow, Deny or Default. Default means "do what the level above says": a table follows its group, and a group follows the department. A line under each permission says what it comes to and why.
At Kestrel Outdoor, Finance's Members can see the department's tables. Aisha sets Data access to Deny for Members on the Payroll group, so only she, as Lead, can ask about salaries.
To check one person or role, use Check access above the list. Reset to default clears a group's own settings so it follows the department again.
Describing a table
On the Details tab you can rename a table, write a short description, and say what each column means. Mira reads these when it answers, so a clear description leads to better answers.
For a table you uploaded, Replace file swaps in a new version and keeps its name, description, group and settings. Delete table removes it and its data for good. Before it goes, Mira names any dashboards that will stop working.
Which shared sources the department has
Each table from the organisation shows where it came from on its Details tab. To get another table, such as HubSpot's contacts, ask an Owner or Admin to share it with your department. They can see everything a department has been given on its settings page, under Data from the organisation.
